URGENT APPEAL TO MEMBERS FOR 8TH AND 9TH JULY AND BEYOND

As no members have come forward since the May AGM to volunteer for the Secretary’s role, I have been asked by some committee members to send this important and what will be my final email to you all about two important matters
SIR WILLIAM STANIER SCHOOL SPORTS DAY – FRIDAY 8th JULY 2016 –RACE TO “SAVE A DAD”
At the AGM and in the last Newsletter mailing, Gary told members about his project with the Sir William Stanier school and the way the pupils have been throwing themselves into finding out more about Prostate Cancer and working on the challenges Gary set.
This work comes to fruition at the school Sports Day on Friday 8th July (the day before our next Group meeting at Leighton Hospital) with presentations of the winning Logo designed by children, a cheque for money the children have raised for our Group and possibly the performance of a song they have written to raise Prostate Cancer Awareness. Gary is also arranging a PSA testing session during the morning for those men over 40 years old (including some of the Teachers!) and has already contacted the testing team.
Gary set up the initiative with the Sir William Stanier Academy at Coronation St, Crewe CW1 4EB, St. Michaels and Monks Coppenhall Junior Schools and next Friday 8th July they are holding a Sports Day to fund raise for our Group. There will also be stalls. Weather permitting, the event will take place in the amphitheatre area at the front of the school. In the event of poor weather they will host the event in the school drama theatre.
The Juniors from Monks Coppenhall even wrote a song called “Save-A-Dad”, which we hope they will perform. They have also designed a Campaign logo (see it on our website) which they plan to have printed on a banner to be presented to Gary during the morning.
Invitations have gone out to B.B.C Radio Stoke, local MP, Mayor of Crewe, Crewe Alex, Stoke City, Crewe and Nantwich RUFC, BBC Radio Stoke, Signal One Radio and a couple of celebrities who have been affected by Prostate Cancer. Also Granada TV, The Crewe Chronicle, The Sentinel, Bentley Motors.
The “Save A Dad” races start at 9.30am. There will be 3 races during the morning starting at approx. 9.30, 10.30 and 11.45 with the last event being complete by about 12:30. Each race will last around 45 minutes and they anticipate that over 500 students will be participating across the course of the morning.
There will be a presentation at 10.45am where some short speeches and presentations will be made. The students from St Michaels and Monks Coppenhall will also come on to stage to present their logo design, sing their song and present the cheque to Gary for the money raised so far.
We know this is a weekday, which may be difficult for some of you, but please do your best to attend so that we can show Gary that there are group members who do appreciate what he is doing.
We hope to see you at the Sports Day, and at the Group Meeting on Saturday 9th July.
VOLUNTEER(S) URGENTLY NEEDED TO TAKE FORWARD THE SECRETARY’s ROLE
Gary stated in his May AGM Newsletter "This 16th year AGM was the most disappointing during the past 16 years. I know we have sometimes struggled to acquire a full committee but this time we find ourselves without a secretary, no assistant for me again and what appears not much support for what’s going on."
The role can be shared amongst more than one committee member. Charles Cahill has already stated that he will continue as Assistant Secretary but we do need another one or two people to take on the primary responsibilities that I have been performing for the past two years for performing the following duties:
Ø Signing up new members, Collecting and recording Membership fees, Maintaining the membership register on the computer with current details and producing printed sign-in registers for Group meetings
Ø Sending out important communications such as this
Ø producing the newsletter and mailings 6 times a year following the Group meetings
Ø Responding to member queries as they come through via phone or email – we don’t get many of these
Ø Organising, attending and taking minutes for Committee meetings, ideally 6 meetings times per year during months that we do not have group meetings
Ø Being the main contact with our Printing partners to produce mailing copies and posters and forms as needed
Ø Being the main co-ordinator with Gary and the rest of the committee for ad-hoc matters
Ø Providing a talk with Secretary’s update at the Group Meetings on matters that the Secretary and Committee have been involved with over the previous two months
The secretary and other committee members also need to help Gary by:
Ø Attending functions and talks where they can
Ø Participating in any activities or interests of the group
Ø Welcoming new members and sharing own knowledge and experiences with the group members where appropriate. We get at an average of 1 new member currently at each group meeting.
Ø Helping at Events where possible – e.g. PSA testing and fundraising events
Ø Helping each other out with fulfilling duties during holidays or times where members are ill or having treatment for their cancers or other illness
Remember there is a real risk now to the survival of the group's future if volunteers do not come up to help with the above duties
To assist with continuity, I will arrange an Emergency Meeting of the committee one evening during the two week period commencing 18th July to 29th July. If you want to offer some of your time but are not sure how you can best help, then come along to this meeting. As the great Tesco slogan says “Every Little Helps” and we all have different skills and experiences that we can merge forces to offer to Gary and the group.
